Terms of use
The agreement, in plain English
What you can expect from Varynt Work, and what we need from you. We have tried to write this so you can actually read it — if any of it is unclear, ask and we will explain rather than point at a clause.
Effective 1 September 2026. We will tell you by email before a material change takes effect — see the last section of this page.
1.Who this agreement is between
These terms are between Varynt (“we”, “us”) and the organisation that we open a Varynt Work workspace for (“you”, “your organisation”). They apply to that workspace, to everyone you invite into it, and to this website.
If you accept these terms on behalf of a company, you are confirming you are allowed to. If you do not have that authority, please do not accept them.
2.How a workspace is opened
There is no self-serve signup. You talk to us, we open the workspace, and we invite the first owner by email. That owner then invites everyone else. It means every workspace has a named human who agreed to these terms, which is deliberate.
Invitations are personal. Accounts are for individual people — sharing one login between several people is not permitted, because every audit entry, approval and assignment in the product names a person and stops meaning anything if two people are behind one name.
3.Roles, and what you are responsible for
Varynt Work has six roles — Owner, Admin, Manager, Team lead, Employee and Client — and each one can reach different data. We enforce those boundaries in the API, not by hiding menus. What we cannot decide for you is who gets which role.
Choosing that, keeping it current when people join or leave, and removing access promptly when someone leaves your organisation are yours. So is the security of your people’s passwords and devices. Tell us quickly if you think an account has been compromised.
4.The client portal and people outside your company
You can give your own customers a login to see the projects you share with them. This is a real invitation to somebody outside your organisation, and two things follow from that.
First, deciding what a client may see is yours: work is internal until you mark it client-visible. We serve only what is marked visible, but we cannot know what you meant to share. Second, you are responsible for the people you invite — you should have your own agreement with them covering what they see in your workspace.
Portal contacts do not count towards your employee seats. That is a commercial choice on our side, not a statement that they matter less: they are covered by the same access rules and the same privacy commitments as anybody else.
5.Reasonable use
Please do not use Varynt Work to:
- store or share anything unlawful, or anything you have no right to share;
- attempt to reach another organisation’s data, or probe, scan or load-test the service without asking us first — we will usually say yes if you ask;
- resell access, or run it as a service for somebody else’s organisation under your own workspace;
- upload malware, or use the file storage as a general-purpose file host or backup.
We do not read your content to police this. We act on what is reported to us, or on something that threatens the service for everyone.
6.Your data stays yours
Everything you put into Varynt Work — your people, clients, projects, tasks, comments and files — belongs to you. We do not sell it, we do not share it with anyone except the service providers listed in our privacy policy, and we do not use it to train anything.
You can take it out at any time while your workspace is open: every list in the product exports to CSV, and reports export to CSV, Excel or PDF. If you need a full export in another shape at the end of a contract, ask and we will help.
We license the software to you for the term — you are buying access, not a copy — and we keep the rights to Varynt Work itself, including anything we build from your suggestions.
7.Plans, seats, storage and paying
Plans are sized by the number of employees in your workspace, with an included allowance for projects, clients and file storage. Prices are agreed with you directly rather than published — there is no card on file and no automatic renewal charge. We invoice what was agreed.
A seat is occupied from the moment an employee is invited, not from when they first sign in, because the invitation is what reserves their place. Deactivating someone frees their seat again. Client portal contacts never occupy one.
If you go past your storage allowance, uploads are refused rather than silently billed — the product tells you the limit and you can buy more. If you need more seats than your plan includes, an invitation is refused with the same explanation. We would rather stop you than surprise you on an invoice.
8.Availability, support and changes
We work to keep Varynt Work available and quick, and we will give you notice of planned maintenance where we reasonably can. Unless we have signed a separate service-level agreement with you, we are not promising a specific uptime percentage — and we would rather say that plainly than imply one.
Support is by email and by whatever direct channel we have agreed with you. We are a small team; you will usually be talking to somebody who works on the product.
The product will change. We add and improve things continuously, and occasionally we remove something that is not working. If we plan to remove or materially reduce a capability you rely on, we will tell you before it happens.
9.Confidentiality
Each of us will keep the other’s non-public information confidential and use it only to make this agreement work. For us that means your workspace content and anything you tell us while we are helping you; for you it means anything we share about how the product works that is not already public. This does not cover information that is already public, that either of us already knew, or that we are legally required to disclose — and if we are compelled to disclose yours, we will tell you unless we are forbidden from doing so.
10.Suspending or ending it
You can end the agreement at the end of your current term by telling us. We can end it on reasonable written notice, and we can suspend a workspace immediately if it is being used in a way that is unlawful or that puts the service or other customers at risk. If we suspend you, we will tell you why and what would resolve it.
When a workspace closes, we keep your data for a short window so you can export it or change your mind, and then we delete it. Ask us and we will confirm the window that applies to you in writing. Backups age out on their own schedule after that.
11.Liability
Varynt Work is provided as it is. To the extent the law allows, we are not liable for indirect or consequential losses, for lost profits, or for data loss where you could have kept your own export. Our total liability in any twelve-month period is limited to the fees you paid us in that period.
Nothing here limits liability that cannot legally be limited — including for fraud, or for death or personal injury caused by negligence.
12.Governing law
These terms are governed by the laws of India, and the courts in India have exclusive jurisdiction over any dispute. Before going to court, please write to us — most disagreements are a misunderstanding about what the product does, and those are faster to resolve by talking.
13.Changes to these terms
We may update these terms as the product changes. If a change materially affects your rights we will email the workspace owner at least 30 days before it takes effect, and the date at the top of this page will change. Carrying on using Varynt Work after that date means the new terms apply. If you would rather not accept them, tell us and we will end the agreement at the current term without penalty.
