FAQ
Questions, answeredbefore you have to ask
Grouped by what you are deciding: scope, safety, AI, your data and what it costs.
[ 01 ] Product and scope
Is this an HR system?
No. It has an employee directory, departments, teams, managers and leave because projects and tasks need them. There is no payroll, attendance, recruitment or appraisal, on purpose.
Do you have time tracking?
Yes, on Business and Agency: timers, logged hours, weekly sign-off, rates with cost kept private, utilisation, retainer burn-down, forward capacity and a timesheet report you can trim before a client sees it. Project budgets are still to come. Time tracking
Is there a mobile app?
Work installs from the browser as an app on phones and laptops, with live updates, notifications and a timer that keeps running offline. There is no separate app-store app.
Can we run several organizations?
Yes. One Varynt sign-in can belong to several organizations, each fully separate. Switch from the top bar.
Is there a Gantt chart or sprints?
No. Projects have milestones, a board, a list, My Tasks and a calendar, with blocked-by dependencies. Work runs client engagements rather than developer sprints.
[ 02 ] Roles and the client portal
What roles exist?
Owner, admin, manager, team lead, employee and client, plus per-person grants for cost view and client information. The API enforces every boundary, not just the sidebar.
How does the client portal stay safe?
Every task, file and comment is internal or client-visible. The portal is served a restricted read model that contains only client-visible data for that client; the browser never filters.
Can one client ever see another?
No. A portal contact is tied to their own client, and every read is scoped to it. Asking for another client's record returns nothing.
Do portal contacts use seats?
No. You pay for your own team, never for the people you do the work for.
[ 03 ] AI assistants
Can an AI assistant reach our workspace?
Only if one of your people connects it, and then only with that person's permissions, narrowed further: personal contact details, rates and costs, your client contact list and workspace settings are withheld from AI sessions whatever the role. AI assistants
Does it cost extra?
No. It is included on every plan.
[ 04 ] Your data
How do we get our existing data in?
From spreadsheets, with six templates: clients, contacts, employees, projects, milestones and tasks. Preview before anything is written; one click undoes an import. Import templates
Can we get our data back out?
Whenever you like. Lists export to CSV, and reports to CSV, Excel or PDF.
What happens when someone leaves?
Deactivate them. Access stops immediately, their seat is freed, and everything they did stays where it is with their name on it.
Is there a record of who changed what?
Yes. Owners and admins have an audit log of significant actions, kept for the life of the workspace.
[ 05 ] Plans and onboarding
How much does it cost?
Plans and what each includes are on the pricing page. Pricing is per workspace, billed monthly or yearly; book a demo for a quote.
Do you support single sign-on?
Yes, on the Agency plan: single sign-on through your own identity provider over SAML or OIDC (for example Okta, Microsoft Entra ID or Google Workspace). Your company's email domains, proven by a DNS record, sign in through it. SCIM provisioning comes with it, so your identity provider adds, switches off and removes people and syncs groups. Two-step sign-in and an IP allow-list are available on every plan.
