Time tracking and timesheets

The hours are the business.Keep them with the work.

Log time against the task it was spent on, run a timer, submit the week for sign-off, and get utilisation, retainer burn-down and profitability from the same hours. Who sees money is a separate decision from who sees hours.

[ 01 ] How it works

From a timer to a signed-off week

  1. 01

    Log or time it

Start a timer on a task, or enter hours against a task or project, with a work type.

  2. 02

    Submit the week

Each person sends their week for sign-off when it is complete.

  3. 03

    The manager approves

Approval routes to the person's manager in the directory, and falls back to all managers when none is set.

  4. 04

    The numbers follow

Utilisation, retainer burn-down, profitability and the timesheet report update from approved hours.

[ 02 ] Hours and money

Two questions, asked separately

An employee can log and read their own hours without that exposing what they cost or are billed at.

  • Rates, resolved for you

Cost and bill rates set at several levels, from the workspace down to a person on a project; the most specific one applies.

  • Cost view by grant

Rates, cost, value and margin are shown only to people given cost view. Seniority does not imply it.

  • Hourly or fixed-price

Each project bills by the hour or at a fixed price, in its own currency, the client's or the workspace's.

  • Profitability

What a project earned against what it cost, for the people allowed to see money.

[ 03 ] Reports

The questions agencies actually ask

  • Utilisation

Billable and non-billable hours against each person's capacity.

  • Retainer burn-down

How much of a client's monthly hours are used, and how fast.

  • Forward capacity

Estimates against committed hours per person per week: can we take this job in three weeks?

  • Timesheet report

Exclude internal lines and notes before the report goes to a client. Exports as CSV, Excel or PDF.

  • Client hours view

With the portal on, clients see the hours spent on their work, never your rates.

  • Hours through an AI assistant

“Put two hours on the Acme rebuild.” An assistant can log time and start a timer, and never sees a rate.

[ 05 ] Questions

Asked before buying

Does the timer work on a phone?
Yes. Install the app from the browser on a phone or laptop. The timer keeps running offline and logs the entry when you are back online.
Can we invoice from logged hours?
Hours and their value are reported per project and client, and export to CSV, Excel or PDF for your invoicing. Varynt Invoice is the suite's invoicing product.
Are project budgets included?
Not yet. Profitability and retainer burn-down are; a budget per project is on the list of things still to come.
