Client portal and approvals

Approvals where the work is,not in a chat thread

Every client gets a portal scoped to their own projects. They see progress, decide on deliverables and download what you share. Internal work is never sent to it: the boundary is in the API, not a hidden menu.

[ 01 ] How an approval flows

Four steps, on the record

  1. 01

    Mark it client-visible

A task, a file or a deliverable is internal until you say otherwise.

  2. 02

    Request approval

The client is notified and sees it waiting in their portal.

  3. 03

    The client decides

Approve, or request changes with a note. Each new version is kept.

  4. 04

    The task closes itself

An approval completes the linked task, an automation rule can unblock what was waiting, and the decision stays with the work.

[ 02 ] What a client sees

Their projects, nothing else

  • Overview and projects

Each shared project with its progress, milestones and due date.

  • Approvals

Deliverables waiting for a decision, and every past decision with its version.

  • Tasks and comments

Only the tasks you mark client-visible, with a thread your team sees immediately.

  • Files

    Shared files, latest version first.

  • Hours

With time tracking on, the hours spent on their work, without your rates or costs.

  • Activity

What happened on their projects, the client-visible parts only.

What a client never sees

Never sent to the browser, not just hidden in it

  • Internal tasks and internal comments
  • Employee workload, rates and costs
  • Other clients, or that they exist
  • Internal activity, notes and the audit log
  • Your CRM pipeline or deal values
  • Files marked internal

A portal contact is tied to their own client, and every read is scoped to it by the API. Asking for another client's record returns nothing, rather than returning it and hiding it.

[ 04 ] Questions

Asked before buying

Do portal contacts count as seats?
No. Clients get scoped portal access, not employee seats; you are not charged for the people you do the work for.
Can we put our own brand on it?
Yes, on Agency: your name, logo, colours and favicon on the workspace and the portal, with or without “Powered by Varynt Work”. It runs on our secure domain; a custom web address of your own is not part of it.
Can our team record an approval given by phone?
Yes. People with the permission can record a decision on the client's behalf, and the record says so.
